Question

Why are receipts being issued twice for different payees? Also, can a receipt number, deleted in error, be issued again for the same payee?

I used to be able to check the receipt number and change it but now I can't change it to avoid duplicate receipting.  I thought with automatic receipting, it would not allow duplicates.

Let me share additional information to ensure you don't get duplicate sales receipt numbers in QuickBooks Online (QBO), @smf-susanmoorefo.

 

In QuickBooks Online, each receipt is assigned a unique sequential number for tracking and reconciling transactions. If a receipt is deleted in error, the corresponding number is also removed, causing potential issues if reissued later. If you have accidentally deleted a receipt and need to reissue it, your best option would be to create a new receipt with a new, sequential number. Make sure to document the reason for the new receipt to maintain proper accounting practices.

 

In the meantime, we can enable the Custom transaction numbers option from your Account and Settings so you can enter your desired digits. Once you enter a number, QuickBooks will automatically increment it to avoid duplicates. Here's how to do it:

 

  1. Click the Gear icon, then select Account and Settings.
  2. Select Sales from the left menu.
  3. Go to the Sales form content section and toggle the Custom transaction numbers to turn on the automatic numbering.
  4. Hit Save, then Done.
