It could be the payment isn't processed through the invoice you sent with them. That's why a withdrawal occurred in their account, and the invoice didn't change to paid status automatically in QuickBooks.

 

Still, it's important to know the correct reason for this situation. Therefore, I would like to confirm how your customer processed the payments. Did they directly pay using the invoice you sent to them? If not, how was the payment processed? Are you using another third-party application to receive customer payments?

 

In the meantime, if you've received the payment and it's been deposited into the correct bank account, you can manually mark it as paid by linking the deposit to an invoice.

 

Step 1: Find the deposit:

 

  1. Go to the Transactions menu and select Chart of Accounts.
  2. Find the bank account where the payment was directly deposited and click on View register.
  3. Locate the deposit and click on it.
  4. Then, click on Edit. You'll be directed to the Bank Deposit page.
  5. Choose the customer from the Received From column.
  6. Select Accounts Receivable from the Account column.
  7. Hit Save and close.

 

Step 2: Link the deposit to the invoice:

 

  1. Go to the + New button.
  2. Select Receive Payment.
  3. Select the customer.
  4. Put a check next to the invoice and deposit.
  5. Finally, click on Save and close.
