I write up an estimate in front of the customer and they accept. When job completed I convert the estimate to invoice to collect payment but the total changes. Found the tax is different from estimate. Why did it change?

Thanks for reaching out here in the Community space, Chris. Let's work this out to prevent taxes from changing when converting an estimate to an invoice inside QuickBooks Online (QBO).

To begin with, we'd like to ask if you added an item or service to the invoice after converting it from an estimate. If so, please know that it'll cause changes to the taxes since another product or item is present in the transaction. Otherwise, we'll need to perform web browser troubleshooting to ensure the one you're using is at its default function. Access your company file using an incognito or private browser through these shortcut keys:

  • Chrome: Ctrl+Shift+N
  • Firefox: Ctrl+Shift+P
  • Safari: Command+Shift+N

Once you're in, create an estimate and convert it to an invoice. Try to see if the tax remains the same, and then you can proceed to clear your browser's cache. Visit this page for more information: Clear cache and cookies to fix issues when using QuickBooks Online.

Additionally, we recommend checking this article to help you personalize your sales forms inside the program: Customize invoices, estimates, and sales receipts in QuickBooks Online.
