Why is QB Online generating duplicate sales receipt numbers?

I am manually entering sales from another system that doesn't interface with QB. When I click 'New' and then 'Sales receipt' the system generates a new sales receipt and assigns a number. When I go to save this receipt, it gives me the message that this is a duplicate number. If the system is assigning the number, why is this happening and what can I do about it?

Hi there, mefros1.

I can share additional insights into making sure you'll not get duplicate sales receipt numbers in QuickBooks Online (QBO).

Once you enter a number, QuickBooks will automatically increment it to avoid duplicates. As a workaround, you'll need to enable the Custom transaction numbers option from your Account and Settings so you can enter your desired digits.

  1. Click the Gear icon, then select Account and Settings.
  2. Select Sales from the left menu.
  3. Go to the Sales form content section and toggle the Custom transaction numbers to turn on the automatic numbering.
  4. Hit Save, then Done.

I've added this article that'll guide you in case you want to send your receipts and bills to QBO. It also includes a link about classifying transactions: Email receipts and bills to QuickBooks Online.

Additionally, you may read through if you want to focus on certain details of reports in QBO that matter the most to you: Customize reports in QuickBooks Online
