Why isn't there a Sales Order option on the QB online version?

QuickBooks Online (QBO) doesn't have a Sales Order option. However, you can create an Estimate as a replacement and later on, convert into invoices. Both are non-posting transactions and will not be included on the Profit & Loss report.

Sales Orders help you record sales of products & services your customer orders. It then allows you to keep track of multiple orders & then combine them on a single invoice. On the other hand, an Estimate is a proposal for something for a specific price that you can turned into an invoice.

You also have the option to rename the transaction form from Estimate to Sales Order. You'll create an Estimate but your customer will receive a Sales Order. Here's how:

  1. Go to the Gear icon, then select Custom Form Styles.
  2. Locate the Estimate form, then under Action column, click Edit.
  3. Select the Content tab, then click the Title section of the form.
  4. Replace the Form names from estimate to Sales Order.
  5. Click the Done button.

Hello, I was reviewing this answer and it looks great but, I would like to know if I do the estimate does it deduct the pieces from the inventory so I know how many pieces are left, or this will only happen after I invoice.

You're absolutely correct, @fcalero!

 

Allow me to share a little more information about creating an estimate.

 

@Rea_M is correct. In addition, creating an estimate happens when you're giving a proposal of items or services to your customers. With this, the quantity of your inventory items is not affected. This also allows you to create an invoice, once your customer agrees with your proposal.

 

If you haven't created one yet, let me show you how to create an estimate.

  1. Go to the Plus icon.
  2. Under Customers, select Estimate.
  3. Select a customer and a date for your estimate.
  4. Choose an item or service under PRODUCT/SERVICE.
  5. Enter the quantity and the amount of your items or services.
  6. Click Save and close.

Sales Orders and Purchase Orders
I suggest QBO developers look at other software's like ERP-Horizon as they have all the features people are looking for with the same cost.

Hi there.  I also need to use the Sales Order option, which is not available, to track incoming orders and backorders.  I have just tried using the Estimate option (Changed the name to Estimate / Sales Order) and then invoicing from there. I now need to be able to print a report on these open quotes showing the backorders / items not yet invoiced and outstanding.  I cannot find / customise a report for this - perhaps you can assist?

I can assist you on how to run a report that shows what you need.

 

I suggest running the Estimates by Customer report. And, customize it from there to show what is the estimate that you've already linked or added to an invoice. Please note, you're able to see this under the Estimate Status.

 

Here's how: 

 

  1. Click the Reports at the left panel.
  2. Go to the search icon and type the report mentioned above.
  3. Select the Report period drop-down arrow and choose specific dates.
  4. Click the Customize button.
  5. From Rows/Columns, you can choose customer to show in the report.
  6. In the Filter drop-down list, put a checkmark in the Transaction Type and Estimate Status boxes.
  7. Choose Non-posting under Transaction Type to show all the data about an estimate. Select the specific estimate status that you want to show on the report.
  8. Customize the other option that you wish to see in the report.
  9. Hit the Run report button.

 

Currently, the option to show backorders will not show on the report mentioned above. However, I suggest exporting the report to an excel and customize it from there. This way, you're able to add a column for backorders.

 

For items that not yet invoiced and show outstanding, you can pull up Inventory Valuation Detail and customize this report. From there, you're able to see Qty on hand, asset value and, the Fifo cost. Hi Christie Ann, I have tried this but no job.  I need to print a list of the items outstanding / backorder by product or customer, both these option do not get this for me.

I tried the create and estimate option and invoice as stock is available - but you cannot track back orders like this. I have found SOS Inventory which integrates well with QBO - what do you think.  You have to turn off tracking on QBO - is this ok and will you be able to track on both platforms then?

Thanks for keeping an eye on this thread. I'm glad that you've found the SOS inventory in QuickBooks Online.

 

When using a third-party app to track inventory in QBO, we still need to turn on the inventory feature so we can accurately map them in your book. Some features may be turned like enabling the shipping, entering discount, and sales in the time of using the SOS inventory.

 

To turn them on, we can go to the settings. Let me show you where to do it:

 

  1. Log in to your QBO account.
  2. Go to the Gear icon.
  3. Select Accounting and Settings under Your Customer.
  4. Click Sales on the left side. In the Sales Form Content, check the box next to Discounts.
  5. Click Save. Then, sync SOS inventory to QBO. You can then use the discounts in all sales forms.
  6. Still, within the Sales Form Content, check the box next to Shipping.
  7. Hit Save. Then, sync SOS inventory to QBO. Afterward, we will have a shipping field in all sales forms.

 

For more information and instruction, you can reach out to SOS inventory support from time to time. It's our separate online forum where someone will take charge of providing you a thorough explanation and insights about mapping concerns as well as how it works in QBO.

 

In the other scenario, if the inventory tracking in QuickBooks Online is sufficient for our needs.  It's okay not to use the SOS Inventory.

Hi there.

Instead of incorporating another add on package like sos, is there not an option of another Quick Books Package we can convert to to enable sales orders, back order tracking etc?

Allow me to provide some information regarding enabling sales orders in QuickBooks Online. You might want to look for a third-party application that allows you to create sales orders since there isn't a package or option to enable this feature in QuickBooks Online.

 

Please visit our Apps page through your QuickBooks Online account. Here's how:

 

  1. Log in to your QuickBooks Online account.
  2. From the left pane, click on Apps.
  3. Search for apps in the search box.

QuickBooks displays the list of applications available that matches the description you entered. Once you find the right app, click on it to open.

 

You can also visit this link for a better view: https://apps.intuit.com/. From there, you can find different apps that are compatible and designed to work with QuickBooks Online.

 

As a workaround, you can create estimates. This will be a non-posting transaction that can be turned into an invoice at a later time. When the customer gets the invoice, this can act as the sales order.

Seriously, the sheer amount of unhappy customers and posts should get this developed quicker. Such an integral piece of the day to day of businesses not being available is unacceptable.

 

I have just switched over to QBO and I am LIVID.

 

We need a fix, we need it now.

 

Can I bill QuickBooks Online for all the lost time/wasted time doing work arounds?????

We also understand how it can be frustrating to sign up for a service and have it not work the way you think it should be. However, there are certain limitations for each product offered by QuickBooks.

 

Since QuickBooks Desktop and QuickBooks Online (QBO) are two different platforms, its features offer depends on how it was built by our Product Design Team.

So I complain about a WORKAROUND, and what am I offered? A WORKAROUND.

 

STOP GIVING WORK AROUNDS, FIX THE APPLICATION!

Instead of spending all this money on After Sales Service, invest on the solution.

 

This is a BAND-AID and does not achieve the desired result outside of having every customer contact your customer service. 

How much time, money and energy does it take to manage these online requests, the phone calls, the managers who have to speak with retention specialists and client service teams?


I would guess the cost and time would be GREATLY reduced and the client retention team could be a lot smaller if you just fix your product. IN turn, having happier clients, who via word of mouth talk about how much QB is to SAGE, XERO, NetSuite, FRESHbooks...

In a world where there is so much competition, you will alienate your brand by fighting/lying to your customers about your unfinished product.

The missing Sales Order feature from Quick Books Online is a real issue and there is not an acceptable work around for those (me) using this software in a distribution business.  It's been almost 4 years that the users have been begging for this feature to be added.  Is there any hope from QBO that this feature will be added to the package?  I would be willing to pay more for this necessary component.  The "bolt on" apps are complicated and dilute the effectiveness of the native product.  Is there any hope?

Of course there is hope... Haven't you heard about this amazing workaround that you can use an estimate instead?! /sarcasm

 

I was hoping QBO would be better than QB Desktop, enabling me to apply a down payment to a SO... Just to find out there isn't even a SO to begin with... Well then, back to the drawing board...

Can you please submit a response that is more recent than this 2019 post? I am not interested in a workaround to create a sales order, rather I would like it to be done the same way that it’s done in QB Desktop where an estimate turns into a sales order, turns into an invoice, then turns into a billing receipt..all connected

When designing QBO, someone at intuit simply disregarded some key business processes that have been a staple in all QB desktop & enterprise platforms for dozens of years. They made the assumption that all businesses that sell products, simply have all of their widgets on a shelf just waiting for immediate fulfillment and invoice.

 

We have been trying for years to go from QBE to QBO, but all trials fail miserably. We just suck it up, and continue using QBE while we search for an alternative.  

Insult to injury, the latest versions of QBE are even worse than the previous versions. We are now blessed with random mandatory security updates in the middle of workdays which paralyze productivity, and can last for hours. 

 

Sales Order Processing in QBO needs to be address, not worked around. The work around does not work.

If you are using QBO Essentials, you can use a 3rd party inventory management app with the sales order feature.
