Question

Why when I setup a location and add overriding information such as company name, address, etc, it does not show in new invoices even though I select the correct location?

It works for sales estimates but not invoices.

I meant "even though I select the correct location" ?(under the Business (hidden) selection box). The overriding information shows when generating sales estimates, but not invoices.

Thanks for coming here, @inquisitechs-acc.

Let me help you show the correct location for your invoices in QuickBooks Online (QBO).

We can review the invoice template if the location field is included in your invoice template.

Here's how:

  1. Click the Gear icon.
  2. Choose Custom form styles.
  3. Click Edit to the template that you used.
  4. Click the Content tab, and click the header of the invoice to edit it.
  5. Ensure that you click on the + icon for the Business name and Address.
  6. Then, click Done.

By following these steps, the Business address and Company will show.

If everything was all set but the address was not showing, we can perform some troubleshooting steps to fix this. There are times when the browser is full of frequently accessed page resources, which causes some errors or unusual responses. Let's start accessing your account using a different or private browser. You can use either of these shortcut keys:

  • Google Chrome: Ctrl Shift N
  • Mozilla Firefox: Ctrl Shift P
  • Microsoft Edge: Ctrl Shift P
  • Safari: Command Shift N

Once logged in, try to open an invoice. If it works, I recommend clearing your browser's cache. Doing so will remove the historical data and access QuickBooks with a clean slate. You can also switch to a different supported browser.

My issue is that I want to have the option of my invoices using different company names, as I do business under multiple DBAs. My understanding was that the Business Location function would allow this. Attached is a screenshot of an example of the Business Information settings I have used. When generating an invoice, the settings shown are not applied even though I select the Business location as "Test Name.". The company name on the invoice remains "Inquisitechs LLC" instead of "Test Name"

Good evening!

I am having this same exact issue. I have location tracker on, tracking label as "business," and when I go to create an invoice the business drop down has (hidden) next to it and none of the location information overrides in the header like its supposed to once clicked. I have noticed that it does seem to work in the "old layout." Any ideas on how to remedy this? I have 3 separate businesses under my initial LLC that I need to be able to send forms from. Thank you!

Thank you for joining this thread, matthew. Allow me to explain how the New layout of the Invoice page works and why there's a "hidden" message besides the location dropdown.

The "hidden" text next to the location works as designed in the New layout. Please know that the location information you've set up and used on the transactions takes effect when you print the invoice.

However, if the details are not visible when you print in the new invoice layout, you can visit the Custom form style and ensure you include the business name and other information.

We can follow these steps to do so:

  1. Go to the Gear Icon (), then select the Custom form styles.
  2. Click New style, then choose Invoice.
  3. Hit Content, then select the Header.
  4. Tick the Business name and other information that you wish to reflect when you print an invoice.

On the other hand, if you want to apply the location info on the Invoice page, please note that the system does not alter the default company name and address that was configured in your books. You'll want to send feedback to our product engineers so they can add this feature to future updates.

Here's how:

  1. Log in with your QuickBooks Online (QBO) account.
  2. On the Gear Icon (), click Feedback.
  3. Enter your product comments and suggestions, then select Next to submit.

So, I just had a call with the contact center and was told the only way to get different information on invoices is to manually change the style when generating the invoice, despite having the location set up with the overriding information. Is this manual approach really the only way to accomplish this?

June 20, 2024

Yes, Quez. You'll need to manually change the information when creating an invoice.

I recognize how this feature would be beneficial to your business, I encourage you to send feedback directly to our Product Developer Team. They place a lot of value in the ideas provided by users, when deciding on how best to improve QuickBooks.

Here's how to send feedback:

  1. Select the Gear icon, then choose Feedback.
  2. Enter your comments or product suggestions.
  3. Select Next to submit.
