Question

A potential client paid me and the $ were autodeposited. (I hadn't invoiced them yet.) The sale did not proceed and I refunded them right away. How do I record it in QB?

Hello dhdrader,

Welcome to the QuickBooks Community. I can appreciate wanting to get the recording details of this situation just right, and I'm here to guide you toward figuring this out.

For this kind of situation, knowing exactly how you initially recording and refunded the transaction is important. For instance, if you've been using QuickBooks Online Payments, the recordings you're looking for may have already been created by our system, so it wouldn't hurt to double check. To be sure of this, I recommend contacting a member of our support team outside of this community forum so that we can go over these details with you and also review the transactions from our end to check their status. I'll leave the contact details at the end of this reply.

If you've been using a third-party app or processor that connects with QuickBooks, it may first be helpful to connect with their support teams to learn if their system handles posting these kinds of transactions in a certain way. In cases where the data syncs to QuickBooks Online, being sure of how the app or service handles the transaction first is key to knowing how we might need to approach this in QuickBooks Online. If you're using an app, here's how you can find the support options.

  1. Select Apps from the left menu.
  2. Choose My Apps.
  3. Select the app.
  4. Review the App information section.

Here are the support details that I mentioned. Please feel free to pick the one that you're most comfortable with and a member of our team will work with you from there.
