Can I accept a credit card payment over the phone? How do I enter it into qb’s?

Hello QualityCustomFraming,

 

Accepting customer payments via credit card is a breeze if you're using QuickBooks Online Payments. With this feature, you can send invoices to your customers that give them the option to input their credit card details so they can pay online or you can enter the information on their behalf when you create invoice payments or sales receipts. I'll show you how.

 

If you're wanting to input the credit card information on behalf of your customer, it's as simple as getting the details from them and then entering it on the Receive Payment or Sales Receipt form. Here's how,

  1. Click the + New button in the left menu.
  2. Choose Receive Payment to put the payment against the invoice or Sales Receipt to create an independent sales transaction with payment. (Hint: Check out this article to see which is better for you: Should I use an invoice or a sales receipt?)
  3. Choose a credit card Payment method.
  4. Click Enter credit card details.
  5. Ensure the Process credit card checkbox is selected.
  6. Enter the transaction information as needed.
  7. Save and close.

If you're not using QuickBooks Payments or a different third-party payment processor, think of QuickBooks as a physical book where you're writing down the details of the transaction but not actually doing any of the real-life money movement. You can still record payments of many kinds and even indicate what payment method was used, but the exchange of funds would take place outside of the program.
