Can I accept credit card payments over the phone through QuickBooks?

Hi there jcmenasen,

 

Welcome to the QuickBooks Community! Adding Payments to your QuickBooks Online subscription makes QBO your one-stop-shop for invoicing your customers. I'd be happy to go over the different ways you can accept credit card payments from your customers using QuickBooks Online Payments in Canada.

 

The straightforward answer to your question is yes - you can accept credit card payments over the phone through QuickBooks. You'll have to ensure that you've set up QuickBooks Payments first, but once you do you'll have the ability to send your customer an invoice with the option to pay now, save your customer's payment information for automatic payments, and collect your customer's payment information over the phone and enter it to charge their card. Here's how to sign up for Payments if you haven't done so already:

 

  1. Navigate to the Gear icon and select Account and Settings.
  2. Choose the Payments tab from the left.
  3. Click Learn more, then select Set up Payments.
  4. Follow the prompts on-screen to finish the set-up process and Activate Payments.

 

As I mentioned previously you'll have a few options for accepting your customer's credit card payments once you're set up, but let me go over how you can receive a payment toward an invoice that you've already created, after collecting your customer's credit card information over the phone.

 

  1. Hit the _ New button, then select either Receive payment or Receive invoice payment
  2. Fill out your customer's info and the payment date.
  3. Select an open invoice in the Outstanding Transactions section to apply the payment towards.
  4. From the Payment method drop-down, choose Credit card.
  5. Click on Enter credit card details.
  6. Enter your customer's credit card info. You'll have the option to save this card by hitting Use this credit card in the future.
  7. Choose Process credit cardSave, then Save and close.

 

The steps I've outlined above are fairly similar to the steps that you'd want to follow to accept a credit card payment with a Sales Receipt. With the check of the Cards box on an invoice you'll be able to have your customers pay online. Before you start using QuickBooks Online Payments, I suggest reviewing the Intuit Payments Merchant Agreement as well as the Intuit Payments Acceptable Use Policy so that you're familiar with how the add-on can be used as well as which card types can be accepted.
