Question

Can I add an optional charge for the cusomter on an invoice? Let's say I want to add a cancellation fee, but it is up to the customer if he wants it or not.

Hi info-bbhillhouse!

Welcome to Community!  QuickBooks Online provides valuable features to ensure you're able to accomplish your daily bookkeeping tasks with peace of mind.  You can add additional fields your forms as you see necessary.  I'd be glad to assist!

Although there isn't a way to automatically apply a fee to your invoices, you can manually add service fees, to new and existing invoices.

Follow these steps to create the item;

1. Open your Settings ⚙ and select Products & services

2. Click New, then choose Service

3. Give the item a Name

4.  From the Category ▼ dropdown, select the category that best describes the fee. Find out more about item categories.

5. Complete the remaining fields

6. When finished, hit Save and close.

Note: If you don't charge a standard fee, you can always change the amount on the invoice.

For invoices already sent, you'll create an invoice with the service fee. If you haven’t sent the invoice, make sure to add it before sending it.  Here's how;

1. Open Sales from the left menu and select Invoices

2. Select the invoice you want to add a service fee to

3. Hit Edit invoice

4. From the Product/service ▼ dropdown, select the service fee you created.

  • (Optional) In the Amount field, enter the amount of the service fee.
  • (Optional) In the Message on invoice section, add a note about the fee.

5. Select Save and send or Save and close.
