Hello alunahomestaging,

I'm happy to see that you're still using QuickBooks Payments alongside your QuickBooks Online subscription. I hope that service is continuing to meet your needs and keeping things as simple as possible with receiving payments from your customers. I can absolutely go over whether you can record an invoice payment on behalf of your customer.

When using QuickBooks Payments, the primary way to receive funds for your customer is to have them pay through the invoice. If you have a situation where for whatever reason your customer has given you their credit card information to process the payment on their behalf, that's also possible. This can be useful when setting up things like recurring sales receipts as well. For recording an invoice payment, here's how you'd handle it.

  1. Click +New.
  2. Select Receive payment.
  3. Choose the customer from the drop down.
  4. Check off the invoice in question.
  5. If the customer already has credit card details registered, the program should choose them automatically.
  6. Make sure the box Process credit card is checked.
  7. If the customer doesn't already have credit card details registered, select Credit Card from the Payment method drop-down menu.
  8. Click Enter credit card details.
  9. Enter the details and click Use this info (Note: you can also open and print off an authorization form for your customer to sign that signifies they've given you permission to charge their card).
  10. Ensure the Process credit card box is checked.
  11. Click Save and close.

Once you've done that, the payment will be recorded in your books and the customer's credit card will be processed. Keep in mind that the same stipulations apply in this instance, meaning that you can only process Canadian currency Visa cards, Mastercards, and Discover cards and your customers have to be set up in Canadian currency.

That should get you on your way! Have a great rest of your day. :)
