Question

Can someone explain why my invoices keep showing as paid immediately after I create it instead of showing the balance owing? This has suddenly become an ongoing issue.

Ongoing issues with creating an invoice and recording payments. When creating invoice it shows as paid instead of balance owing. Other invoices won't save the info when updating payments. It will continue to show a balance. This started about 3 weeks ago and I cannot figure out why.

I want to help you resolve this invoice payment posting and balance concern, @usergurrandpurr.

Before anything else, I want to ask some questions about this unexpected issue. Can you please confirm if you're using QuickBooks Payments to receive online payments or do you record it manually in the program? I need this information to determine the steps you need to do to resolve the problem.

In the meantime, if you're recording the payments manually, try logging in to a private web browser. I need to be sure if this is a caching problem.

Unexpected issues in QuickBooks are sometimes associated with the amount of data stored in the cache. This is because a regular browser will constantly overwrite itself and will not remove history unless done manually.

Private browsing will not save any history, so it's a great place to identify issues in the browser. Use these keyboard shortcuts to launch a new private window:

  • Google Chrome: press Ctrl Shift N
  • Mozilla Firefox: press Ctrl Shift P
  • Safari: press Command Shift N

Try to receive payments and see if it gives you the same problem. If it works correctly, clear the cache to resolve browser issues in QBO. You can also use a different browser and see if the issue persists there.

Come back here for the additional details about the payments. I'll be available to help anytime. Have a good one.
