Can you create custom memos that for tracking multiple PO Numbers from external receipts to be stored with the Estimate/Invoices inside QB Ituit (Not QBO/Web)

Organizing and tracking your information is good practice for making sure you can keep on top of your business's books. I want to make sure you have the information you're looking for when working with QuickBooks Online. With a bit of clarification of what you mean by your question, I'm certain I can point you in the right direction. To get you started, I'll go over memos in QuickBooks Online.

 

Many transactions in the program have the option of a memo field, which gives you the opportunity to leave additional notes about the information you're working with. These primarily appear on supplier transactions like expenses, bills, and cheques, and in those situations it's important to be mindful that the memo information will print if you choose to print out those forms.

 

When it comes to invoices and estimates, you can consider using fields like the Message on invoice or Message on estimate fields to note any additional information you're looking to include, such as order numbers. Like with the memo field, these fields will be visible to your customers if you print or send the form to them.

 

Something else you can consider with this is including the additional information that you'd like as an attachment. With attachments, you can choose whether or not the customer sees the information by checking off the box to include it when you send it via email. Additionally, there are third-party apps that can connect various external services that may help you if your external information is using another program. Check out the Apps tab in QuickBooks Online to learn if what you're using can connect with and filter data into the program for you.
