Hello SarahBee,

With a goal of simplifying the bookkeeping process, QuickBooks has many automated features. I can appreciate not wanting or needing to use all of those features as it can take time to counter-act them when they happen. I'll help you with your customer invoices and payments.

When you have multiple open invoices for a customer and choose their name from the drop-down in the Receive Payments window, each of those invoices should appear without any check marks in the selection boxes. When you enter and amount into the Amount received field that matches an invoice amount exactly, the program will choose it for you to save you a step. If you have multiple invoices of that amount, the program will choose the oldest one by default. The program will also select the oldest invoices when you enter an amount received that could encompass many of them. In case you'd like it, here's our article about invoice payments: Record invoice payments in QuickBooks Online

Based on your question here and the thread you commented on in the US Community, it seems to me that that's what you're referring to. There isn't a way to change that automation at this time, and I don't have details about when this sort of option might be implemented.

I do, however, have a suggestion of something you can try so that you don't have to spend time unchecking transactions. When you open up the Receive Payments window and select a customer, select the transaction or transactions you're looking to allocate the payment to. QuickBooks will automatically enter the amounts of the invoices in the Amount received box, and then you can edit the amount if needed. This will ensure the amount is going toward the transactions you want rather than QuickBooks trying to help you by picking the oldest ones.

The best way to let the developers know what you're looking for in the program is by submitting your feedback. It's a fairly simple process, which is outlined in this article: How do I submit feedback?

To take a peek at what automation features are currently available, follow these steps.

  1. Select the Gear icon.
  2. Choose Account and Settings.
  3. Click the Advanced tab.
  4. Scroll to the Automation section.
  5. Click the pencil icon if you'd like to make changes to the options available.
  6. Click Save when done.

I'll be here if you have further questions.
