Question

Hi, can I set my main customer as default when creating invoices? I always have to use the drop down and pick.. It would be nice just to default to this instead

Hello shane-kuban,

Welcome to the Community and thanks for being a part of the QuickBooks Online family! Being able to set a customer that you regularly work with as a default is a great idea for saving time when setting up transactions. I can absolutely see how this would be useful to you, and I'll go over the options with you.

When it comes to creating customer invoices in the program, there are a few ways to go about it. The first, which is probably the option you're using, is to go to the +New button in the left menu and choose Invoice. With this method, picking the customer from the drop-down is necessary.

Another option is to go to the customer profile and create the transaction from there. Since you'll already be on the customer profile, you won't have to select the name from the drop-down. Here are the steps for that.

  1. Hover over Sales in the left menu.
  2. Choose Customers.
  3. Select the customer name.
  4. Click New transaction.
  5. Choose Invoice.

If your customer doesn't currently have an open balance, you'll even see the option to Create invoice from the customer list before clicking their name. If there is an open balance, however, you'll see Receive payment instead.

For creating an invoice only every once in a while, going through the customer profile is a few more clicks that simply choosing the name from the drop-down, but this option could be useful if you're looking to enter several transactions for the customer. You can also consider importing the invoices if you've created a spreadsheet of them.

At this time, setting a default customer isn't an integrated feature in QuickBooks Online, so I recommend considering the options I've outlined above. Feel free to share your idea about a default customer through the feedback option outlined here: How do I submit feedback? This lets the product developers know what users are looking for, which they consider as QuickBooks continues to evolve.

Let me know if you have more questions about that. I'm here to help.
