How do I change received payment dates to invoices?

Hi brielliantoccasi,

 

Welcome to the QuickBooks Community, and thanks for choosing QuickBooks Self-Employed to manage your books! This version of the software aims to keep working with transactions like invoices as simple as possible, but I can appreciate seeking out some extra guidance for this task of changing the date of the payment received to an invoice. I can help you with this.

 

When you select Mark as paid for on a transaction in the Invoices list, the program marks that day as the payment date of the invoice. For instance, if I select Mark as paid for an invoice today, the program will choose today as the payment date and there isn't a way to choose a different date. With this in mind, I always recommend only selecting that option when you've actually received the payment to ensure that your books remain accurate.

 

If you marked an invoice as paid too soon and need it to be registered as paid for today or a future date, you can follow these steps to reopen the invoice.

  1. In the Invoices tab, select the down arrow for the invoice in question.
  2. Choose Mark as unpaid.

Once you've done that, the program will display the invoice as Mark as paid again, and when you're ready and receive the payment, you can click that to register the payment for that date. You can learn more about working with invoices here: Create invoices in QuickBooks Self-Employed

 

In the event the invoice was paid using QuickBooks Payments, the program should have marked the invoice as paid for the date the customer made the payment through the Payments portal. If the date doesn't seem to match up, I recommend connecting with the QuickBooks Self-Employed team outside of the QuickBooks Community to explore what might have happened and see how to best address it. Here's how you can reach our team.

  1. Select the Assistant feature.
  2. Type and enter "talk to human."
  3. Follow the prompts.

If you'd like to share feedback about how the program handles invoice payments, you can do so by navigating to the Assistant feature, then typing and entering "feedback" instead of "talk to human" like I mentioned above. Follow the prompts to share your thoughts, which are then passed to the product development team for consideration.
