How do I create a Late Fee on over-due invoices that will show on the customers statement stating Late Fee without creating a new invoice?

Hello marco25,

 

Welcome to Community!  Having the ability to automatically apply late fees to invoices is currently not available in QuickBooks Online.  However, you can enter them manually.  I would be happy to show you how!

 

To get started, you'll need to create the fee as a service item so you can enter a fee to invoices.  Here's how;

 

1. Open your Settings ⚙ and select Products & services 

2. Select New and choose Service

3. Give it a Name

4. From the Category ▼ dropdown, select the category that best describes the fee. Find out more about item categories.

5. Complete the remaining fields 

6. Hit Save and close.

Note: If you don't charge a standard fee, you can always change the fee amount on the invoice.


Next, you'll add the service fee to invoices by following these steps;
 

1. From the left menu, open Sales, then Invoices

2. Select the invoice you want to add a service fee to

3. Click on Edit invoice

4. Use the Product/service ▼ dropdown menu to select the service fee you created

5. Enter the Amount of the service fee

(Optional) In the Message on invoice section, add a note about the fee.

6. Hit Save and send or Save and close.
