How do I enter customer invoices into quick books that already have payments against them?

Ww run a wedding event space and couples make payments over time. I just moved to Quick books from Account edge how do I enter invoice that already have deposits again them?

Hi there lisa-fermanaghfa,

 

It's important that all your transactions are entered correctly for your books to be well balanced. QuickBooks Online is a great tool able to help you keep track of invoices and payments so that you can see the total owing by your customers. I can point you in the right direction for assistance with entering the se previous invoices.

 

In order to enter an invoice with a payment already applied, you'll need to create the invoice in question by clicking on +New, then invoice. Once you've entered all the information, you can save it. Go to the Sales tab, then Invoices. Locate the Invoice you've created, then click on the option to make a payment. Add the correct date for the payments as well as the amount. This will lower the amount owed.

 

if you've already entered some opening balances, I recommend reaching out to your accountant for assistance in entering these invoices and payments. Their expertise will be able to make sure the amounts are entered correctly so that these opening balances don't include the invoices you've added, as that would be a duplicate entry in your books. You can invite your accountant to your QuickBooks Online account by clicking on the My Accountant tab. There's also an option to find an accountant near you in that section by clicking on the Find a Pro to help button.
