Question

How do I record rent from tenants

What is the proper way of recording rent from tenants in QB Desktop?  I've read a couple Q & A here but they refer to QB Online and it's a bit different. But judging by what I've read, I should use classes and receipts.  Why is it important to use classes?  I've been recording rent received by using general journal entries.  I've also read that you should never use GJ so I figure I've been doing it wrong.  Our year end is Sept 30 so I think I should change the way of recording it starting Oct this year.

Hi Diane,

It's good to see that you've done some research into this matter already. QuickBooks Desktop is a robust software that allows you to manage all aspects of your business. I have some suggestions for recording your rental income.

There are two ways to record the rent from your tenants depending on when you receive the actual rent payment. The rent can either be recorded as invoices, (if you receive payments at a later date) or as sales receipts, (if you receive their payments right away). You can learn more about how to create these from the following Community articles:

As for using classes when recording rental income, this is optional and up to you whether to use them or not. They can be useful for certain situations, such as if there are multiple units in a particular rental property, or if you have rental properties in different areas. If this is something you're interested in doing, I recommend checking out our Community article Set up and use class tracking in QuickBooks Desktop for more information. Another resource that you may find useful is Record transactions for a property management company.

I also recommend checking with your accountant regarding how to record your rental income, as there may be a certain way they'll want you to handle those transactions. If you're not working with an accountant just yet, Find a ProAdvisor who's QuickBooks-certified who can assist you.

I hope this helps, please let me know if I can help with anything else!
