I have a deposit showing in my bank feed which I want to match with a sales receipt, but it is not showing up for me to match it. What am I doing wrong?

Hello there!

 

I love that you've been using the bank feeds feature in QuickBooks Online to make tracking your income and expenses and reconciling your accounts a much smoother process. Sometimes a transaction doesn't appear as a match when you expect it to, so let me go over how you can proceed.

 

The first step is to ensure that the transaction you entered in QuickBooks Online matches the details for the deposit that's appearing in the bank feed. Locate the sales receipt by navigating to the Sales menu, then choosing All Sales. Ensure that the CustomerDateAmount, and Deposit to account are all correct. If you choose to set the Deposit to account to Undeposited Funds, you'll have to do a Bank Deposit to deposit the funds into the correct account before you'll find a match. If all other details are correct, you can proceed to try and match the transaction. Here's how:

 

  1. Navigate to the Banking or Transactions menu.
  2. Select the tile for the bank account, and locate the correct transaction.
  3. Click the transaction to expand your options.
  4. Choose Find match.
  5. Expand the date range to include a wider range of dates to ensure that you're encompassing all options.

 

Once you find the match you can proceed as you usually would. If there's no match, proceed to exclude the transaction by selecting it from the bank feed and hitting Exclude. Since the sales receipt is already recorded within QBO, excluding the transaction just means that you'll have to take the extra step to check off the transaction during your monthly reconciliation rather than have it automatically checked. It's really no big deal.

 

If you decide you want to try and find a match at a later date, you're welcome to navigate to the Excluded tab, locate the transaction, and hit Undo from the Action column. This brings it back to the For review tab so you can add or match it. Sometimes matches don't come through as expected, but that's why you have the option to exclude, as long as you've already recorded the transaction in your books.
