Question

I want to make an invoice from an estimate but cannot change the quantity. It only allows for either changing the dollar amount or using a percentage.

In an older version of QuickBooks I would set up a sales order. I was then able to create an invoice from that sales order by picking and choosing which items had shipped and entering the quantity on each line item. QB would then keep track of which items were already invoiced and which were still to come. The estimates in QB online seem to replace that but I am unable to change the quantity of each line item. Am I missing something in set up?

I appreciate you for reaching out to us here in the Community, Linda. I can guide you on how you can change the quantity of your items when converting an estimate into an invoice.

 

Usually, you'll only have the option to update the amount and the percentage of each line item once the progress invoicing feature is enabled in your account. You can turn off the feature so you can change the quantity of the items from the QTY column.

 

Here's how:

 

  1. Sign in to your QuickBooks Online (QBO) account.
  2. Go to the Gear icon, then tap on Accounts and Settings.
  3. Click on Sales at the left pane.
  4. Select the edit or pencil icon from the Progress Invoicing section.
  5. Disable the feature, then hit Save, then Done.

 

Once done, you're now ready to make an invoice from your estimate transaction. From there, you'll now have the option to modify the quantity of your items.

 

If you aren't able to change the quantity of the items, I recommend performing the steps through a private window. This way, we can check if there are browser issues that may affect the problem.

 

To save you time, use either of these keyboard shortcuts:

 

  • Google Chrome: Ctrl Shift N
  • Safari 11 or newer: ⌘ Shift N
  • Mozilla Firefox: Ctrl Shift P
  • Microsoft Edge: Ctrl Shift P

 

If it works fine, go back to your original browser and clear its cache to start fresh. You can also use another supported and up-to-date browser to narrow down the result.
