Question

Invoices are showing as paid as soon as they’re created. All invoices in outstanding are now showing as paid. Why?

Hi dameionsmith1980,

 

Welcome to Community!  I can understand how having payments applied to invoices immediately after creating them can be cause for concern.  QuickBooks Online has automated features that help minimize your tasks.  I'd be glad to point you in the right direction to get this resolved!

 

Based on the information you've provided it sounds like we need to check the settings.  Here's how:

 

1. Click on the Gear at the top right of your account

2. Choose Account and Settings

3. From the left menu select Advanced

4. Scroll down to the Automation section and click on the pencil icon to the far right

5. Ensure the toggle is turned off beside Automatically Apply Credits and Automatically Apply Bill Payments

6. Make any other selections as you see fit and then hit Save and then Done

This will prevent automatic payments being applied moving forward.

 

For the invoices that have been marked as paid, you'll need to remove the payment by following these steps:

 

1. From the +New tab open Receive Payment

2. Open the history by clicking on the icon at the top left (looks like a clock with an arrow)

3. Scroll down to the bottom of the list and hit View More

4. Select the Date Filter to minimize your search

5. Click on the Payment to open it

6. From the bar at the bottom of the transaction, click More and then Delete

This removes the payment from the attached invoice.
