Question

Is there a place on the estimate where I can include a note for only our company to see and not the client who is receiving the estimate?

Hi there,

Creating an estimate in QuickBooks Online is a simple and straightforward process. I can appreciate that you may want to write notes or include information that's hidden from the customer that your team can review within the account. I'd be happy to explain how this works in QBO.

When creating your estimate, you'll scroll to the bottom of the page and see two message boxes. One says, "Message displayed on estimate", and the other says, "Message displayed on Statement". Both of these fields give you the option to include notes, however any text entered into these boxes will be visible to your customer.

If you convert an estimate into an invoice and send a statement, the section titled "Message displayed on statement" will show up as the description for the invoice.

If you'd like to include notes that only your company can see, you'll have to add it as an attachment by dragging and dropping files into the Attachments box. I'd recommend creating Word or PDF files and dropping them into this field.

I can see how it would be helpful to have another Notes field where you're able to type information only you and your colleagues can see. I'd be happy to submit feedback about this to my team. I'd recommend submitting this on your end as well, by clicking the Gear icon > Feedback
