Question

My customer paid a deposit on his invoice by way of etransfer. I've etransferred a refund back to him but how do I show that the balance is $ 0 and the invoice is void.

It's great to hear from you again and I hope that things have been going well for your business since we last heard from you. It's good you've already taken care of your customer's transaction outside of QuickBooks Online, and now it's just a matter of making sure you have it entered in your books. I can help you with this.

 

How you go about recording the refund to your customer will depend on how you entered the deposit. If you entered the deposit as it's own standalone transaction, you can consider the steps in the article Record a customer refund in QuickBooks Online to counterbalance the amount of the deposit. This doesn't subtract from that original transaction, but rather creates a new, offsetting transaction in a way. Then you can also void the invoice.

 

However, if you've used the Deposit field available on the invoice, simply voiding the invoice should do the trick. Because the deposit is a part of the invoice transaction in that case, voiding the invoice will also remove the deposit amount. Here's an article that can walk you through voiding a transaction, which you can use in either of these two scenarios: Void or delete transactions in QuickBooks Online
