Question

My invoice template has an incorrect email address. What is the easiest way to fix it so that my customers get my correct email? I need to adjust over 150 invoices.

It's great to have you back with us, and I'm thrilled to see that you're still working with QuickBooks Online. Having the correct information on your invoices is in integral part of effective communication with your customers. I'm happy to share that changing your email is a fairly quick and easy process, and I can show you how it's done.

 

There are a couple places to go that will give you the opportunity to change your email address as it appears on your forms: your account settings and in the custom form styles area. I'll start with your account's settings.

 

Your account settings give you access to toggle different features in the program, and it also gives you the opportunity to set and change your business information, including what your customer sees. Follow along with these steps.

  1. Select the Gear icon.
  2. Choose Account and settings.
  3. On the Company tab, select the Contact info section.
  4. Change the email address or add a Customer-facing email address as desired. (Note: A customer-facing email address is useful if you want your forms to display a specific email address that's different from the main business one.)
  5. Click Save.

On the Company tab, you can also go through and change other information as desired. Click Done when you're ready to exit your settings and get back to work.

 

Another place you can change the information your customers see if in your custom form styles. This generally pulls directly from your account settings information, so it should match whatever you have saved there. If you happen to be using location tracking where the address and contact details for that secondary location appear on the invoice instead of your main one, editing those details is a bit different. It's still simple though! This time when you go to the Gear icon, choose All lists, then Locations. Select the down arrow in the Action column, then Edit to change the information associated with that location. The good news with QuickBooks Online is that when you change the email in any of these areas, the program will automatically update all of the items that use it, meaning you won't have to go into your 150 invoices one-by-one to change them. That should save you some time!
