Question

This client wants to set up auto withdrawls from clients accounts for monthly day care fees. This file is then sent through the banking system. How is this done on QBO?

It's so awesome to hear that you're working with a client who's using QuickBooks Online. I appreciate the information about what your client is looking to do and I'd be happy to go over the options for setting up transactions to automatically apply against their customer accounts in QuickBooks.

 

It sounds like your client would benefit from QuickBooks Online's Recurring transactions feature, which is available in Essentials and Plus packages. This option allows the user to set up transactions that repeat with the same information and then the program creates the transaction for them to reflect against the customer profile in the Sales section. The important thing to keep in mind is that this option will not automatically charge the customer bank account outside of the program unless you client has also configured QuickBooks Payments. When using QuickBooks Payments, a recurring charge to the customer account can be set up as a recurring sales receipt.

 

QuickBooks Online also doesn't produce a file that can be fed through a banking system to enact the charges there. If your client is hoping to charge their customers automatically through their bank, it's best to explore other ways to get the details they need into the banking system, such as through manual entry.
