Question

When customers e-transfer and it shows up in my checking account, how do I process the payment (often they're partial payments)? Should I use 'accounts receivable'?

I'm just not sure what to do with these imported bank transactions (from my chequing account) that are waiting to be added.  How do I correctly match the imported transaction with the customer's invoice?

Hi andrew-parallelt,

Welcome to Community!  QuickBooks Online enables you to record customer payments accurately, so their account balance is aligned with your books.  I'd glad to assist!

Once you've received a payment from a customer, it needs to be recorded in QuickBooks so the invoice is marked as paid. Otherwise, the invoice remains open and will result in inaccurate reports. You can record full or partial payments toward an invoice by following these steps;

1. Open +New from the left menu and select Receive payment

2. From the Customer ▼ dropdown menu, choose the customer

3. Choose the Payment method from the ▼ dropdown menu

4. Enter the account where the payment has been received, in the Deposit to field.

Note: You can put the money directly into an account, like your chequing account, or select Undeposited Funds if you need to group the payment with others.

5. In the Outstanding transactions section, select the checkbox for the invoice you're recording the payment on

6. When you're ready, hit Save and close.

Now that the payment has been recorded, you should see it as Match in your bank feed under the For review tab.  Here's a helpful guide for categorizing and matching your transactions in QuickBooks Online.

If you're not completely certain on the category to select, I suggest speaking with your accountant.  They'll be able to provide their expertise and best course of action to ensure a positive outcome on your books.  If you don't have an accountant, we can help you locate a ProAdvisor in your local area.
