Question

When I send an online invoice, the subject line says "Please choose...". Perhaps something is setup incorrectly in the Settings?

Hi there bfoley12,

I know being able to email your customers their invoices can be a big timesaver, but it's still important to make sure that your communications with them are clear and correct. I'd be happy to go over where in QuickBooks Online you can check on the email settings so that you can make changes as needed.

There are two areas you can go in QuickBooks Online to make permanent changes to the email sent alongside the invoice from the program: the settings and the custom form styles section. I'll start with the settings, which can be accessed via the following steps.

  1. Select the Gear icon.
  2. Choose Account and settings.
  3. Click the Sales tab.
  4. Click the Messages section.
  5. Make changes as needed.
  6. Click Save.
  7. Click Done to exit settings.

As you can see, there are a few different email messages you can change here, including the ones for invoices, so don't hesitate to make the changes you'd like.

The next place to check settings for email messages is in the email section of a form style in Custom form styles. That section is accessed through the Gear icon as well, and when the list of custom styles comes up, you can click Edit for the one you'd like to check on, then the Emails tab. Again, you can make changes here. The Standard form should match what you've entered in your account settings, but if you've got individual invoice styles, these can be personalized for the particular style, so it's good to check on those as well. You can learn more about these customizations here: Customize invoices, estimates, and sales receipts in QuickBooks Online

That should get you back on track, but feel free to keep me posted with how it goes. I'll be here if you need me. :)
