When I send invoices from the app I am not seeing it in my email’s sent folder like when I send invoices using my computer. Is there a way to fix this?

Hello user36164,

 

It sounds like you're working with the option to connect your Gmail account to QuickBooks Online to send invoices. I know how this is a great option for keeping track of the invoices emailed to your customer as well as make it easier for them to see where the transaction is coming from. I can go over with you how this feature works and why when you send an invoice from the mobile app that it's not showing in your sent folder.

 

The option to connect your Gmail account to QuickBooks Online is designed to work when sending invoices from your browser, which gives you the opportunity to select which email you'd like to use. The default email that QuickBooks Online uses is a "no reply" type email, and that's what the app uses to send forms, even if you have your Gmail linked otherwise. That's why you're not seeing the invoice sent via the mobile app in your sent items folder.

 

At this time, there isn't a way to change that and the app will continue to use the program's default address. There are ways to ensure that your invoice has been sent, however. I'll outline a few for you. One of the first ways you can do this is through the Sales tab. Using the Invoices sub tab, you can see the status of the invoice and whether it's been sent or not. By clicking the Status column, you can see the stages of the invoice.

 

Another way to see whether an invoice has been sent is to use reports and customize to add the Sent column. For instance, the Open Invoices report has this option, and when you click Customize and then check off Sent in the Columns section, it'll be added to the report when you click Run report. If the invoice has been sent, it'll show Sent in that column.

 

Finally, you can consider the Audit log feature to see the activity in your account. This is a useful tool for seeing all that's happening in your QuickBooks Online, including whether transactions have been emailed or not.
