941 e-payment rejected / EFTPS password expired

Every time I try to submit my 941 deposit through the QB e-pay (QB premier 2019) it tells me the payment is rejected due to the internet password being expired.  However, when I log on to EFTPS, it accepts the same password and does not tell me that I need to change/update it.

The latest payment I processed through QB e-pay (QB Premier 2019), I got the e-mail notification that it was rejected.  When I go into payment history in the payroll liability section, it shows the payment status being 'complete'.  Any ideas on this?

Hi @ pcflint,

You’ll have to uncheck the memorize pin when you submit the form after that, you need to reenter your 10 digits Pin. Let me show you how.

1.    Go to the E-File Login page and uncheck the Remember My Information for Next Time box.
2.    Verify and re-enter your 10 digit PIN you requested and received from the IRS after enrolling to e-file.

If this resolves the issue, the next time you file your 941 check the Remember My Information for Next Time box, so your Login information is captured. And re-entered into the Credential Vault.

You can read this article for a reference on what to do when your e-filing or e-payment is rejected: Troubleshoot efile or epay rejection issues.

Please leave a comment below if you have any related concerns. I’m here to help you.

You have me to help so you can successfully submit your 941, Rak98.

Thanks for trying the steps shared by my colleague. At this time, we'll have to update your EFTPS internet password. Please go to this page: EFTPS. Then, hen select How do I get an Internet password under the Login Questions section.

Then, we also have to change the password in your QuickBooks file. Here's how:

  1. From the Employees menu, select Payroll Center.
  2. Go to the Pay Liabilities tab.
  3. In the Pay Taxes & Other Liabilities section, select the federal liability to e-pay.
  4. Click View/Pay.
  5. Make sure that the E-Payment is selected, and then click E-pay.
  6. Deselect the Remember my Information for next Time box.
  7. Enter your 4-digit pin and your new EFTPS Internet password.
  8. Enter any other missing information.
  9. Click Submit.

I've also added these articles to help you manage your tax liability:

There you have it, Rak98. Just let me know if you still have other concerns about tax liability. I've got you!

The original question by pcflint asked what to do if the payment is rejected but is  shown as complete and is no longer available to resend.  All of the answers correctly tell you how to change your password but they fail to mention you have to go to your bank register and VOID the payment!  THEN it will show up under Pay Liabilities again.  You can then start the EPay process, change the password for EFTPS (you have to have already done that on the EFTPS site) , make sure the option to save the information is checked, and proceed to re-send the payment.  But if you don't void the payment in QB, you cannot send the same one again.

After voiding the check/payment that was rejected by EFTPS, I corrected the password issue and am ready to re-submit however it does not populate in the scheduled liabilities list for me to resend.  How can I make that happen?

Hey there, Bren65.

To populate your scheduled liabilities again on the Pay Liabilities tab, you'll need to void the rejected payment check and reschedule them.

Here's the step-by-step process:

  1. Click Employees at the top menu bar and choose Payroll Center
  2. Go to the Pay Liabilities tab.
  3. Under Payment History, click the E-Payments tab.
  4. Open the rejected payment by clicking on the Agency Rejected link.
  5. Click Void Rejected E-payment.

Once voided, you'll see the liability on the Pay Liabilities tab ready to resend. I'd suggest checking the messages and the corresponding solutions for the rejection before voiding to ensure your payments are submitted on time.

Our articles also offer a bunch of guides regarding payroll and tax details, compliance and employee management. Give them a shot if you need help: QuickBooks Desktop Payroll general help articles page.

Let me know the result of this troubleshooting in the comment below. I need to make sure this is resolved and you're back to running your normal business processing. Happy Holidays!

I had the same issue.  Was able to successfully log into EFTPS but decided to change my password just to avoid having to log in there the second time.  It was then I learned they have changed their password requirements.  I updated my password, voided the first check (so you can see it in the pay liability section) then went on to change my pin, password and uncheck remember my entries and it worked.

November 10, 2020

I had a code that was long enough, but didn't meet the character requirements.

Once I changed the password it worked with Quickbooks.

Unfortunately, I only now realize that my payments haven't been going through since mid-September. I expect I'll be receiving a letter from the IRS assessing late fees.

The email notification for the rejected payment looks nearly identical to the one for an accepted payment in my inbox unless I open it. The failed payment is even less apparent in the Pay Liabilities tab in Quickbooks which shows a status of "Complete" despite the rejected status.

How can I put this on a wish list for the next version/update?

I would appreciate a more explicit and obvious notification when a payment to the government goes awry.

Hi there, satbill.

Thanks for following up on this thread and for letting me know those details about the payment notifications.

I can see how having a notification that stands out more and looks significantly different would be helpful. I'll be sure to pass your suggestion along to the Product Development Team for review. You can keep an eye out for these types of updates by checking out the QuickBooks Blog.

Additionally, you can submit feedback like this directly through your QuickBooks Desktop account by:

1. Clicking the Help tab in the menu at the top of the page.

2. Hover over Send Feedback Online.

3. Choose Product Suggestion.

Please don't hesitate to reach back out if you have any other questions.

How do I get a new password and how dio I reinstate the 3 taxes payments that have been rejected?

December 3, 2020

Hi, 8443.

Thank you for joining the thread. Let me guide you on how to get the new password and submit your taxes successfully.

IRS makes changes to pay taxes electronically. They implemented new password requirements from 12-30 characters. That said, if the password below 12 up to 30 figures, this will be the reason why you're getting rejected.

To update your password, please visit this page: EFTPS. Then, click on How do I get an Internet password under the Login Questions section.

Once the password is successfully updated, we need to reset the password in QuickBooks. You can follow my colleague's steps above on how to change it.

Once finished updating, let's go ahead and resubmit your electronic tax payment. You can refer to this article on what to do when your e-filing or e-payment is rejected: Troubleshoot efile or epay rejection issues.

For additional insight, I've attached a handy article it contains the status of your payment and form submitted in QuickBooks: Check E-file or E-pay Status

Please let me know If you have additional questions or concern. I'm always here to lend a hand. Stay safe!

I found out another really  important fact when the EFTPS deposit have been rejected.  If the rejection was due to an incorrect password, you must wait at least an hour before re-attempting a deposit with a corrected (new) password.  I kept try to fix this immediately with no success and that was the reason!!!!

February 8, 2021

THIS process is a QB ERROR... EFTPS does not ask employers to change their PIN or PASSWORD.

QB is causing problems where there is none.

PLEASE have your programmers in QB fix this.  As an accountant, I run payroll for numerous companies and this is becoming a big problem.   IF this continues, we may start looking at a different payroll processing option.

and NO I do not want to go to QBO payroll.

I agree. I had success paying 941 for Jan 2021 but then today, paying Feb it was rejected.

When it was rejected the first time, I changed the password  @ EFTPS level and went back to QB only to get rejected again. Went & successfully submitted my payment on the EFTPS site no problem.
QB -- THIS IS YOUR ISSUE.

Utterly ridiculous, so now my payment is late because of Intuit's inept issue. I thought the e-pay feature was going to save an extra step of going onto the internet, logging in and making the payment. Now I'm getting another note that our password has expired and it has not been 11 months. WTF Intuit?!!!

I changed the password with EFTPS how do I change quickbooks

April 12, 2022

I've got you covered, rex45.

I know a way how to change passwords in QuickBooks Desktop.

Here's how:

  1. On the Company Login window, select I forgot my password.
  2. Select an email from the dropdown list, then Next. We'll email a token to reset your password. Note: If you don’t see your email address, select Don’t see your email in the list above? and follow the onscreen instructions.
  3. Enter the token from your email.

You can check this article for more details: Reset your password for QuickBooks Desktop.

I've also attached an article you can use to monitor the payment status in QuickBooks: Check e-file or e-pay status.

Let us know if you have any other concerns related to the tax payments. We're here to help.

October 12, 2022

I can imagine the position you’re in right now, JoanH.

I'll ensure you can file your federal tax payments in QuickBooks seamlessly.

E-payment can be rejected due to either of the following reasons:

  • There’s a problem when you submit the e-filing or e-payment. An example of this, the Intuit server is unavailable.
  • An e-filing or e-payment is rejected by the agency.

To get around this issue, let’s void the rejected e-payment and resubmit it again. Before we start, let’s update your QuickBooks Desktop to the latest release and download the latest tax table update. Keeping your QuickBooks updated prevents unexpected issues within the program.

Once done, follow these steps in voiding the rejected e-payment:

  1. Go to the Employees menu.
  2. Tap Payroll Center.
  3. Click the Pay Liabilities tab.
  4. In the Payment History section, Choose the E-Payments tab.
  5. Hit on the Agency Rejected link.
  6. Choose Void Rejected E-payment.
  7. Then resubmit your federal tax payment.

You can also check this link for more details: Handle an e-payment that has been rejected by the agency.

If your tax payments are still rejected, I'd recommend contacting our Payroll Care Team. They have the tools to look into the account and further investigation.

Here's how to reach out to them:

  1. Go to the Help menu.
  2. Select QuickBooks Desktop Help.
  3. Click on Contact Us.
  4. Select Search for something else.
  5. Enter Rejected Tax Payments in the Tell us more about your question: field.
  6. Click on Start a Message.

I'm also adding this article that you can read to learn how to check the status of your e-payment: Check E-File or E-Pay Status.

Keep me posted on how it goes, I'd like to make sure you're able to file federal tax payments. We're always here to help.
