Welcome to the Community, @SteveLio.

I'll share information about e-filing 1099 and W2 using QuickBooks Desktop.

No you don't need to sign up or register with the IRS, Social Security, or any other authority before e-filing through QuickBooks Accountant Desktop. QuickBooks will handle the electronic filing process for you, and you can submit your W-2s and 1099 forms directly through the software without the need for separate registrations with the government authorities.

For W2, there is no filing fee, while there is a filing fee for the 1099 in QuickBooks Desktop. You will be routed to a payment page before you can complete the e-filing. When filing, you can choose the way you want to file the 1099.

You can select your preferred method of sending copies to the recipients/vendors by checking the box under USPS Mail or Email Recipient. You can also choose to Download Multiple PDFs to provide vendors with their copies. Please note that selecting USPS Mail incurs an additional fee.

After selecting your state(s) for filing, proceed to the next step or click the Calculate Tax1099.com Fee to view the total filing fee. Once you have completed the options on the Select Forms page, you will be directed to the Payment page. After entering your payment information, click on Pay & Submit to e-File.

For future reference, you can read these resources to guide you in e-filing 1099, and get answers to your questions about it, and to correct W2 forms:

Does your response above regarding efiling of W2s and 1099s also apply to QuickBooks Desktop Pro Plus?

I can share some information about e-filing from your QuickBooks Desktop Pro Plus for 1099 and W-2, @JeffR

If you have QuickBooks Desktop Pro Plus, you can use it to prepare your 1099s. Clicking the E-file button after preparing it will redirect you to Tax1099 for e-filing of forms. For more information about preparing and filing 1099s, refer to this article:  Get answers to your 1099 questions

To e-file your W-2s, you'll need a payroll subscription. Follow this article for detailed guidance on e-filing your W-2s based on your subscription: File your W-2 and W-3 forms

Note the tax filing due dates for your forms:

  • Form 1099-NEC: January 31
  • Form 1099-MISC: March 31 (if you file electronically)
  • W-2: January 30 (if you file electronically)

After creating and sending your 1099, you can track its status by checking the steps in this Tax1099 article: How can I check the submission status of my tax forms?.

After sending your W-2s, you can print your W-2 forms and send them to your employees by January 31. Or upload the W-2s so your employees can view their W-2s online in QuickBooks Workforce
