My efile 10 digit pin is usually populated when filing my quarterly 941 forms but this time, it is not populated and I don't remember what the pin number is.  Any idea why it is no longer populated and how can I find the pin?

If this happened when you upgraded to QB 2022, then there is a known but where the PIN isn't retained during the upgrade.

If you don't have a record of what the PIN is, then you'll need to get it or a new one from the IRS.

HOW CAN I RETRIEVE THIS NUMBER - IT WAS LOST WHEN I UPDATED TO QB ENTERPRISE FROM PREMIER EARLIER THIS YEAR 2023?

I know how important to save this PIN, @redhead1_8. I can help you where to obtain the 10-digit Efile number in QuickBooks Desktop.

As mentioned above by @bigred, it cannot be retained in the QuickBooks Desktop account when you upgrade your subscription. Thus, we need to reach out IRS to obtain this PIN again.

Let me share a few information about your 10-digit PIN, Lori102.

The fastest and easiest way to make sure you stay compliant with the IRS is to pay and file your 941/944, and 940 taxes electronically. However, a 10-digit PIN is required to do the process. As what BigRed mentioned, if the PIN wasn't retained due to the upgrade, you'll have to reach out to IRS to retrieve the information. Otherwise, you'll have to get a new one from them. Learn more about the Efile 10-digit PIN from this article: Set Up Federal E-File And E-Pay In QuickBooks Desktop Payroll Enhanced.

Furthermore, to give you more details on how to electronically pay and file your forms, I've added this resource for your guide: E-File And E-Pay Federal Forms And Taxes In QuickBooks Desktop Payroll Enhanced.

My Pin Number did not generate with the update that it did last to the payroll and not sure how to retrieve it.

I have call IRS direct and and I have my 4 digit Pin nr with them but they said that Intuit generated the 10 digit pin to file forms and I should contact Intuit. So here I am.  I noted that you suggested to others on this chat to call IRS. I did that first and they could not help.

Hello, @lPastiu.

I appreciate you joining the thread to share your concern about the 10-digit PIN when filing your federal tax forms.

Please know that once you enroll in the IRS e-file program, you'll get your e-file PIN by mail once your agency accepts it. Thus, it will show the status Accepted. If the IRS rejected or didn’t receive your enrollment, you can follow the steps below.

First, set up your federal filing method. I'll show you how:

  1. From the Employees menu, select Payroll Tax Forms & W-2s. Then click Process Payroll Forms.
  2. Go to the Other Activities list, and select Manage Filing Methods
  3. Choose Filing Methods. Select a federal form (Federal 941/944/943 or Federal Form 940), then select Edit.
  4. Under “Select how you want to file the Form…”, select Filing As Responsible Individual (Owner/Partner/Corporate Officer) for a single FEIN
  5. Click E-file, then select Finish.

Once done, enroll in the IRS e-file program. Here's how:

  1. Under the Filing Methods screen, select Enrollments.
  2. Click IRS, then select Edit.
  3. Follow the on-screen instructions, verify your EIN, and enter your company’s legal name and address. Then select Next.
  4. Fill in the name, job title, email address, and phone number of the person the IRS can contact about your enrollment and payroll tax forms. Select Next.
  5. This person must be associated with your company, not a third-party provider or accountant.
  6. Select Send Information.
