Question

I can see all my Shopify sales transactions in Sales, Sales Orders. Cash sales do show up here but I cannot find on a sales report and don't know how to post cash to bank

Do I need to manually input these cash payment sales that show in Sales Orders, even though they are already on there? I cannot figure out if the sales are actually reporting on the P&L and how to show the cash received but not yet deposited, and then the deposit from on hand to the bank. Help!

Hi there, Cencal. Allow me to help you track the cash sales from Shopify to QuickBooks Online (QBO).

 

When you connect your sales channel from Shopify to QuickBooks, your sales will automatically be posted to QuickBooks. If you want to show your sales in your Profit and Loss report, you'll need to manually input these cash payments into your account.

 

To start, create a sales receipt, and then post it to your Undeposited funds account.

 

Here's how:

 

  1. Go to the +New icon, then select Sales receipt.
  2. Enter the customer under the Customer section.
  3. Choose the payment method depending on how your customer paid.
  4. On the Deposit To field, select Undeposited Funds.
  5. Enter the Product/Services associated with the transaction.
  6. Once done, click Save and close.

 

Lastly, if you're ready to deposit the funds, you can record it using the bank deposit feature. You'll then match it from Undeposited Funds to your bank account.

 

Here's how:

 

  1. Go to the +New icon, then select Bank deposit
  2. On the Account field, choose where you want to deposit by clicking the dropdown button.
  3. Under Select the payments included in this deposit, locate the sales receipt you just created and check the box. 
  4. Once done, click Save and close.

 

After you've recorded the payment, you'll be able to view your cash by generating a Profit and Loss report in QBO.

 

Additionally, you can utilize the memorize reports feature to easily save and access customized financial data in QuickBooks.
