Our accountant needs our 2018 1096 form, but we do not have a copy in our files. Is there a way to print out the previous year's 1096 from QB?

Hi there, @_Noted_.

There's a way, and I'd be happy to walk you through how to print the previous year's 1096 form.

Here's how:

  1. From the File menu, choose Print Forms and then select 1099s/1096.
  2. In the 1099 wizard that opens, click Get Started.
  3. Select your 1099 vendors and choose Continue, then verify your 1099 vendor's information, again, choose Continue.
  4. Map your accounts and edit thresholds if needed, then select Continue.
  5. Review payments for exclusions and select Continue when you're done.
  6. Confirm your 1099 entries after adjustments, If correct, select Continue.
  7. In the Choose a filing method screen, select the Print 1099s button.
  8. Specify the date range for the forms then choose OK.
  9. Select all vendors you wish to print 1096 for and choose the Print 1096 button.
  10. Confirm your printer settings then select Print.

If you're using QuickBooks Desktop for Mac, you may refer to the following article for the detailed steps: How do I print my 1099/1096 forms?. Just go directly to How to print your 1099/1096 forms in QuickBooks Desktop for Mac. It also listed the steps to print a test form to check the alignment.

I'm just a post away if you should have any questions. Have a great rest of your week.

Just a heads up, I was not able to access this and just got off the phone with Quickbooks and apparently it is not possible, this is what I was told:

"Quickbooks cannot archive the 1096 the form. Once you e-file the 1099s, the 1096 will go along with them.  For the 1096 form - they cannot archive it and you cannot see it on your end. If you want a copy you need to ask from the IRS."

I was able to print a previous years 1099 and 1096 with a work around--- if you change the date on you Computer to the year following the year you want to print-- the 1099 wizard will work (at least at the time of this writing)-- I was able to print my 2019 1099s and 1096 just now by doing this and it is currently 7/22/21 -- we are using the desktop version of Quickbooks 2016 ... just realize, your computer will be unable to access any web pages until you change back to the current date-- Hope this helps someone out.
