Printing Prior Year W-2 Forms from 2023

Hi - I am trying to re-print W-2 and W-3 for SSA for 2023 in QuickBooks Online.  I am only seeing access to 2024 forms.  Any guidance is appreciated.  Thank you.

When printing your previous W-2 and W-3 forms in QuickBooks Online, jpykevail. You can reprint them by accessing the archived forms on your Payroll Tax Center. I'd be glad to help you print them.

 

If you've already e-filed with us at that time, you can access it through your Payroll Tax Center. However, if you haven't found it in your archived forms, you may have filed manually outside QuickBooks.

 

To print your previous W-2 and W-3, follow these steps:

 

  1. Log in to your QBO account. 
  2. On the left panel, select Taxes.
  3. Under Payroll tax, click the Fillings tax.
  4. Click Archive, then filter the Start date and End date depending on when you've filed your W-2.
  5. Once found, click the Printer icon to print it.

Thanks.  I don't have this as an option under the archive - only 940 and 941's.

Aside from checking your previously filed forms in the Archived forms, we can also check your W-2 forms directly in the W-2s section under Filings & Forms:

 

  1. Go to the Payroll tab and select Payroll Tax.

  2. Click on the Resources, then select W-2s.

  3. Click on the View or Manage W-2s option to access and print them.

 

Alternatively, if you're an employee who has been invited by your employer to QuickBooks Workforce, you can conveniently access your W-2 forms directly through the platform.

 

To begin with, here's how to access through QuickBooks Workforce App:

 

  1. Go to Taxes, or More, then click W2s.
  2. Click Download.
  3. Select the W-2 you want to view or print.

 

If you're using QuickBooks Workforce through a web browser, please follow these steps:

 

  1. Sign in to workforce.intuit.com.
  2. Go to the Documents menu.
  3. Select W-2s or Shared Documents.
  4. Click the W-2 copy or document that you want to view or download. Then, you can print it after.
