Printing the W2C

The IRS sent me a packet of W-2/W-3C's, I have made the corrections manually and when I go to print them there is not an option to print them on pre-printed/blank forms. Why?! Am I missing something? How else am I supposed to print these if it's not available?

Hi there, @Phil C1.

 

I've got here the steps on how to print your corrected W-2 and W-3 forms.

 

Here's how:

  1. After reviewing or making the corrections, click Submit Form to continue printing.
  2. Click Print/E-file. This will open the Print W-2 and W-3 Forms window. In the Print W-2 and W-3 Forms window, the items (or copies) are listed by recipients (For example, for the employer, and government).
  3. Under the Select paper section, select between Blank / Perforated Paper and Preprinted Forms: May require alignment. Refer to Types of paper available for printing W-2 forms to know which type of paper is right for you.
  4. Choose who you're printing for under the Select item to print section.
  5. If you are using Preprinted Forms, perform a print test to check and adjust preprinted forms alignment. Any adjustments you make will remain until you change them. You skip this step if you are using Blank / Perforated Forms.
  6. Click Print PDF. This exports the forms you have selected to your PDF Reader. If you do not have a PDF Reader installed in your computer, we recommend downloading and installing Adobe Reader as this program works well with QuickBooks Desktop.
  7. Place the pre-printed forms in the printer.
  8. At this point, you may initiate the printing process from inside the PDF Reader. The steps in printing may vary depending on the PDF Reader that you are using. For Adobe Acrobat Reader users: Printing using Adobe Acrobat Reader

Basically nothing you wrote applies to the C forms, and on top of that you didn't even answer the customer's question.

 

If you had actually tried it, you would know what your steps won't work at all and that they do not apply to W-2C's.

 

Among other things there are no options to select a type of paper to print to, and there are no perforated forms that work for a W-2C or a W-3C, since both are full page forms.

 

When you start to print the C forms, you are presented with only these options:

 

Maybe learn QuickBooks and try your steps before posting them?  Just an idea.

Hi.  What was the outcome to this issue as I'm going through this now there is no option to use pre-printed forms.

No, you're not missing anything. QuickBooks only prints them on plain paper, not on pre-printed forms.

 

As with W-2 forms, there is no reason to use the pre-printed W-2C forms because the SSA accepts them when they are printed on plain paper.  Printing on forms just makes it harder.
