Question

Within the past week I have lost visibility to invoice activity at the bottom of the invoices in QBO. Is there another location where this detail can viewed?

The "Invoice Activity" shows some detail, but not who opened or viewed the invoice.  I was using the detailed invoice activity in the invoice to see when the customer was viewing or opening the invoice.  This detail is important for AR tracking and leverage if payments are not made.

Let me share some details about the invoice activity tracker in QuickBooks Online, Cshaffer.

 

I can see the importance of being able to track the details of your invoices. For now, only the timestamp will show on the Invoice activity report. You can send feedback to let our product team know what information you want to include and how this will help your business. I've outlined the steps to show you how:

 

  1. Select Settings ⚙, then Feedback.
  2. Enter your comments or product suggestions. Then select Next to submit feedback.

 

This goes out to our Product Development team to help improve your experience in QuickBooks Online. You can track feature requests through the QuickBooks Online Feature Requests website.

 

Furthermore, QuickBooks offers different kinds of reports that will show the different aspects of your business. Learn how to customize them to make sure they provide the information you need to track. I've got this article for more information: Customize Reports In QuickBooks Online.

Thanks Maria. 

 

Its not that I want the feature added, it was the feature was removed and was working great. 

 

This KB article from Quick Books shows the feature (invoice activities) that was available up until the new changes.

It appears that this visibility was removed.  If I can access this through a report function, then this could also work.  Can you let me know if there is another way to view this previous useful feature?

After reviewing the screenshot, it seems that the invoice activity was intended for the user and not for the customer and this feature is no longer available.

 

I acknowledge the significance of monitoring invoice views for effective AR tracking and leveraging. Thus, I encourage you to provide your feedback requesting the inclusion of an option to view the individuals who have accessed your invoice.

 

You can follow the outline steps above provided by my colleague @MariaSoledadG

 

Moreover, you can view your customer's invoice activity status after sending them an invoice. You can refer to the steps below on how to view an invoice's activity in QBO:

 

  1. Go to Sales and click Invoices.
  2. Click on the invoice you want to view.
  3. The invoice activity will pop up on the right side of the screen.

Additionally, QBO has enough tools to modify the appearance of your invoices. This way, you may also decide which information to include when sending them to your customers.

Any chance this was an unintended mistake, and will be brought back?  If it was intended, I'd love a better understanding of why it was chosen to remove such a useful feature.

I am having the same issue.

 

Why did QB remove this feature?

Customer  " we didn't pay the invoice because we never receivedit 

US using QB online feature" the invoice was viewed on the following dates ... Please pay it today"

 

Am serious thinking of switching to another software.

We totally agree with these comments. It is vital for our small business to be able to monitor if and when our customers receive/open our invoices. This data helped us with our collection of payments. We relied on the date/time info and the dates we first sent invoice as well as the days reminders were sent. We have hundreds of invoices out at a time and this helped track them. It is irrational that this data is not being shown since this last QB update! We are extremely disappointed and hope it shows up again and soon!  A list of when the invoice was sent and viewed should be available on the open invoice for quick access, not a different tab. Please restore this feature as soon as possible.

I work for an accounting firm that serves many different clients and industries. Many of my clients have also been very upset about this feature being taken away. We will certainly look at other platforms if this is something that cannot be fixed. The ability to view invoice activity at the bottom of the invoices was invaluable. Thank you.

I am sorry Mark but it does not show specifically how many days old, or how many days since last sent or viewed etc. This information is important when resubmitting invoices and trying to collect or even knowing when to resend.

Quickbooks Online is great at removing things that were useful, and being completely unable to do things that you would think would be a core feature. For example, wouldn't it be great to see an "average days to pay" number for your customers to see how well each of them pay their bills at a glance? How often is this person late? Quickbooks has the information to do this, but won't, regardless of how many comments and submitted feedback they get.

 

This is yet another case. The way it was was nice. You can still see most of the key points when you click on an invoice in the list, making the right side quick view tab appear that has a little list of the details, when it was sent, viewed, etc, at least.

We, the undersigned users of QuickBooks, would like to express our collective concern regarding the removal of a crucial feature – the "viewed by" information at the bottom of each invoice. We appreciate the response received thus far, but it appears that our original request for a resolution has not been adequately addressed.

The absence of this specific detail in the activity tab on the right has left many of us in the dark about important customer interactions with our invoices. As a community, we rely on QuickBooks to provide efficient tools for managing our businesses, and the removal of this feature has had a significant impact on our ability to track invoice views.

We understand that feedback is crucial for software improvement, and we believe the details shared in various threads should provide ample information for your engineers to propose an effective solution. Many of us are hesitant to create additional feedback, given the comprehensive nature of the discussions already present.

Considering the widespread concern among users, we earnestly request the QuickBooks software engineers to reconsider and promptly re-add the invoice activity feature in its original form. I also find the removal of this feature very frustrating.

 

We are working on having our customers pay their invoices sooner. To do this, we need to know if the emailed invoice was viewed. If the invoice wasn’t viewed, we may have sent it to the wrong email address, or the email could’ve been sent to a junk folder. If an invoice was viewed weeks ago & is still overdue, we need to know this so that we can begin adding late fees.

 

Clicking on an invoice to see the popup window on the right doesn't work well for us. Each invoice has a group of “Sent” dates & a group of "Viewed" dates. We currently have a very overdue invoice that has been “Sent” 9 times & “Viewed” 19 times. It would be much easier to read & understand these dates if they were all in 1 timeline at the bottom of the invoice like they used to be. Having the timelines split up like this takes longer to figure out what our next steps should be (call the customer, mail a physical invoice to them, etc.) If the invoice was sent or viewed more than once, you must click to expand the list of times & dates. This QB update is very cumbersome & takes longer.

 

I have already left “feedback” about this feature being removed. I really hope the feature gets added back on. It is imperative that my company has this feature to quickly see if an invoice was sent &/or viewed & when. Just yesterday our accounting specialist said we may switch from QB to another company.
