QuickBooks does not allow electronic filing if any employee is using all zeros for a SSN. Reading through prior posts, I see Intuit employees suggesting "use a dummy SSN". Intuit, that is ILLEGAL. Would you like to offer up your SSN for this purpose? I see Intuit lecturing on how important it is to have only valid SSNs. What I see nothing of is Intuit abiding by what the law allows and the IRS mandates. See my attached file, Page 15 of the IRS 2023 General Instructions for Forms W-2 and W-3 states, "If the employee has applied for a card but the number is not received in time for filing, enter "Applied for" in box a on the paper Forms W-2 filed with the SSA. If e-filing, enter zeros ([removed] if creating forms online or [removed] if uploading a file." The mandate for e-filing is over 10 forms W-2. Please tell us how to do that when you are making up your own regulations?
I am processing our W-2s and our state taxable wages do not include the fringe benefit amounts. When looking at the payroll item "Fringe Benefit", it does not include a line for state wages, only federal. I have spent the entire day on the phone with 2 different support agents, it is still not fixed. This is NOT an issue of the state taxes being deducted. This is an issue of the wages not being included on line 16 of the W-2s.

How can I print Bonus Checks for salaried employees without deleting all the bi-weekly salary amounts?These are separate Bonuses not added to their normal salary.
I have an employee with an ITIN which isn't accepted by QBO. The social security administration accepts it, but I can't use it in QBO payroll. Apparently, based on this thread, QB Desktop accepts it too. I find this absurd. Anyway....how do I find the place within the employee's record in QBO to mark "applied for" as this thread suggests? Has anyone come across any issues with annual STT-A Oregon form this year (2023) in QuickBooks? Page 2 (STT-2) will not display. Spent 2 hours on the phone with QB tech support and they couldn’t figure it out either?
I use QBE desktop. I have an employee that is trying to view his paycheck and received the following:"We can't sign you in. Your employer has adjusted your access to Workforce. You'll need to reach out to them to regain access." I ran payroll as usual. What do I need to do so that my employee can see his paycheck?
2 problems 1. Get this message when the admin person tries to access workforce. They are employees and have admin rights. "Looks like you don't have a workforce employee account (which they do). The email you entered belongs to an admin account. Only employees can have access their workforce account. " How do they get access to workforce- a second email is not an option. 2. I have sent a invite to another employee to join workforce. They don't get the email. They have looked in spam trash etc. I have sent it multiple times. We are using quickbooks online payroll. We are in Iowa with Iowa employees. The updated 2024 for the state of Iowa W4 has changed to dollar amounts instead of numbers. When I go to change the employees state W4 information in quicbooks online it is the old version based on numbers not dollar amount. When will be quickbooks online be fixed to mirror the Iowa W4 form ? Thank you
unemployment tax credit balance on my account but qb's doesn't now this. QB's pays my uc tax automaticallyhow do i apply that credit to my next payment? thx jeff
I have an employee who is due a bonus. It's huge, over 16k. I tried running a separate bonus for him, but some protocols changed. It will not allow me to zero out the taxes. So, I contacted the help desk, and she showed me how to adjust his federal and NJ pay to zero. This made me nervous because it still showed taxes to Social Security, SUI, Medicare, SDI, and family leave. I questioned the young lady, saying all this is tax-deferred, so no tax should come out. She said I was not correct. He has to pay taxes on this. She promptly asked if I had answered my question, and I told her somewhat yes, and she said she would send me the portion on bonuses and 401k. The first definition that came up was tax deferred, which means NO tax until withdrawn. I am still confused and upset. I tried to put it through his pay this week, and it actually reduced his salary because of all the deductions; increasing his amount will show that he is contributing more
Until earlier this month, we could go to "New", "Weekly Timesheets", select our consultants, and then update hourly rates by client/project. A lot of manual work, but doable. Now the interface has changed and there is a weekly view where you can click on a consultant time entry, and the billing rate field is displayed but the field is uneditable. We are a consulting firm where rates differ by consultant by client/project. How do I edit the billing rate as we cannot send invoices at all until these can be updated? For those that have experienced same, I reached out to QBOnline help yesterday via chat. I spoke to a QBonline customer service rep, who in turn, transferred me to a QBtime resource, who confirmed that the time product cannot accommodate different billing rates by consultant by client, which I knew. I was then transferred to the QBOnline team. They in turn transferred me back to the QBTime team even after I asked them not to
I am trying to create a efw2 file for a state not in the list. Why is this option not available since it is a very common file format? Thanks!
Hello, I am trying to print some W2's. I have some pre printed forms that I want to use. I see where to print them, however I don't have the option of selecting the forms that I need to select before printing. When I print what is there, it has 4 summary type W2's. I need to print them on the forms that I have. I have the traditional forms where there are 2 W2's on each page. I cannot print these. It tells me that I need to turn off Automated taxes and forms, which it then tells me I cannot do until Feb 1st. This would be too late to send them out. I don't understand why I cannot turn it off. It is all greyed out and will not let me change it. If anyone could please share some info on how to get these printed. Thanks,John
We're currently using QuickBooks Desktop Enhanced Payroll and e-filing our W2s to the SSA. In doing so can anyone confirm that my state information (OHIO & PA) is being sent at the same time to the appropriate state tax agency? We're receiving conflicting information as to how this process is being handled.
This is my first time trying to make 1099's for contractors I've paid this past year. The account I put their payments in was Salaries & Wages under expenses, but when I try to search and link accounts to pull 1099's from, that option does not appear! What do I do? Is there any way to manually enter the pay amounts into the 1099's?
Hello! When QB prepares the 940, the wage base times the .006 is $.01 more than the total of the 940 expense on the individual paychecks. The total remitted equals the total of the Federal Unemployment on the Payroll Summary report. The Payroll Liabilities report shows $0 due but the Form 940 report states $.01 is owed. Since the liabilities report shows zero due, I wasn't sure how to proceed. I would love some guidance on this. Thank you!
We have more than 10 employees and the IRS needs our W-2's electronically filed. But the link to electronically file our W-2's is not hot. Why is this? We use basic payroll service, desktop not online qb. Any help would be appreciated.
Does anyone know how to remove addresses from your list of work locations in quickbooks online payroll advanced? I have tried everything and I cannot modify the list. I cannot stand the phone support and my list is long so I would love to avoid sitting on the phone with someone to do something we should be able to do ourselves in settings somewhere
In Quickbooks Desktop I use "manual" paychecks and payroll items to apportion percent time to projects, classes, and expense accounts, calculate accruals, track vacation/sick time, etc. I use Gusto to actually pay people and handle the taxes. How do I do the same thing in Quickbooks Desktop without using the full managed payroll service?
I received notice from SSA that we are required to E File SSA W2 forms. Does QuickbooksE File them to SSA? I tried calling and never got a answer they could not tell me. I print out my W2 forms and mail them out. Has anyone heard of this? SSA is requiring to have a SSA online account to sendthem to them before the end of January 2024.
It won't make a huge difference in my situation, but I can't stand not knowing for certain.
