A business credit card was used by mistake to make a personal purchase. I paid the amount to the credit card from a personal checking account not tracked in QB. How do I record this transaction since the personal checking account it not a bank account in QB? Thanks.
We sent an invoice for $1665.00 to a customer 1/9/23. The invoice was paid on 2/26/23. The customer disputed the payment & they won the dispute. The funds were withdrawn from our account automatically on 3/30/23. In our Invoice section, the account is showing with a Red ! as Disputed. I've been trying to clear this out. I've entered a Refund Receipt to the customer and matched the 3/30/23 Withdrawal to that refund receipt. The original payment is matched to the original invoice. Customer shows 0 balance. But Red! is still showing. I tried to unmatch the original payment from the original invoice - that cleared the Red!, but then the payment did come through & was just hanging there. How do I resolve this and clear the dispute properly through the system?
Hello all, I'm using the Shopify Channel Connector in quickbooks online and I'm having trouble with PayPal transactions/payouts via shopify. Not all Shopify orders paid via PayPal are being recorded in the Payouts data imported into quickbooks (Commerce - Payouts) and thusly not recorded in my sales income for shopify. Some Shopify PayPal transactions are, and some are not. At first I thought it was international transactions that were not recording, but it's actually US orders all in USD - some record some do not. Is anyone else experiencing this? Is this a know bug? How do I get this fixed? When I call quickbooks support, I feel like I'm teaching the support agent how to use the software hahaha - actually quite frustrated. Regards,Jon

I'm surprised I'm asking this because I have always been an advocate of limiting control accounts (AR & AP) to "only one". But I now am in an organization with 3 checking accounts for different parts of the organization, and each could likely have and AR and AP account specifically for that part. Right now, there is one AR and AP account, and since I will be restructuring the GL I am wondering about creating a "global" AR and AP, each with sub-accounts for transactions specifically for that part of the organization. As sub-accounts, the totals would roll-up into the grand total, but allow for visibility into each unit (part) of the total organization. So here is a question: in Customer Center, if I choose Create Invoices, am I able to direct which AR account the invoice total should go to? I don't see an option (like when doing checks we can select which bank account we want to use) to select a AR account. There is a selection option in AP, but not in AR. Does anyone els
I purchased a QB credit card reader on December 30, 2022. I’ve been using it for two years. There are three staff at my company that have been using it since that time without problems. Last month the card reader started only syncing with one staff person’s phone; myself (the owner) and another staff person mysteriously lost access and it no longer will pair with our phones. The software on our phones are up to date. All of the users, including the one that it still will pair with, have unpaired and disconnected the card reader. It seems like something changed with the card reader. If the machine has malfunctioned I would like QB to mail me a new one free of charge. Alternatively, please fix this issue on your end. I’ve called QB help twice and neither representative was able to help me.
Hi Group... I am new to using the online scheduled bill payment. I am trying to take credits on my payment, and I don't seem to be able to do so. I have to reduce the amount of an invoice paid. So my vendors keep showing underpay's on the next statement. I am also unable to take a discount when paying bills too (even when I have terms set up when entering the bill, so I am not sure what I am doing wrong with that!). I have to enter the discount as a vendor credit so that makes it even worse for the underpayments.Any help would be appreciated.
I need to void a few checks in prior months (checks have been lost). How do I do this without affecting the prior months financial statements. What journal entries need to be made? Also, what if an invoice and check in a prior month need to be deleted. How can that be done? Would appreciate any help. Thank you.

I received a check from a customer. The invoice was marked paid and the check went into Undeposited Funds. When I went to make the deposit, the check was refused by the bank. It did not get deposited and bounce, they just didn't accept it. From the customer's perspective, I want to treat this like a bounced check (i.e. they get a new invoice showing a check bounced and have to pay it again). But since the money never actually got deposited, how to do I get it out of Undeposited Funds? Deleting the payment would reopen the original invoice (and not acknowledge that the customer attempted to pay). Since I've already sent him a receipt saying he paid, it feels like he should get a new invoice with the refused check instead of reopening the original invoice.
Greetings!I recently migrated from QB Desktop to QB Online. In the Desktop version I'd see voided checks in the check register. But today I had to void a bill payment/check in the Online version and I'm not seeing the voided check number in the check register any longer. I'm almost certain I voided it rather than deleted it. Shouldn't I be seeing a voided entry? Thanks for any feedback!
What does it mean when it says "RECON" in the Ref # field in QB Payments?
In late 2024, the IRS sent me statements that I underwithheld 941 payments in specific quarters of years 2022 and 2023. I have since paid these by autodraft from our only checking account. I have not put entries into Quickbooks. I use the 2024 desktop version of Quickbooks. I don't know how to enter the credits and debits for these payments. QB payroll automatically adjusts these accounts so I don't know what all accounts are affected. What accounts should I credit and debit to account for these payments? I'm sure I have to create a liability to generate the demand for the IRS payments and I have to post these payments to some expense account. Do these accts already exist or do I need to create them? I'm sure this doesn't affect the taxes for 2024 but it does impact cash flow, which needs to be captured. Also, please note that this is the last entry for this company, as it closing down. Any assistance is greatly appreciated.
Hello, I need a work-around for the situation. Basically this is our first month using Quickbooks. So we have credits from vendors that do not have a bill to associate it with because those bills were paid out of our previous system. I don't want to set credits against bills that have no association with these credits. How can I apply these credits from the total owed to vendor? Thanks for any help!
I started a new Desktop file for 2025. I cannot get the Direct Deposit to work. Worked in my 2024 and older file. I did not do a file transfer. Do I need to delete something in my old file?
Subscription Renewal - I need to renew my subscription due 12/29/24 tomorrow. I was told by support 10 days ago they would be available today, 12/28/24. Can't find a way to pay online and can't get a Support on the Phone. I can see in the system the msg below(*). Will I be automatically charged? Every month we receive a large deposit from our state government to hold for our customers - it's part of a heating oil delivery energy assistance program. The customers will eventually call into us and request a delivery using that energy assistance money. How can I go about turning that large deposit that will come in as a bank transaction into a credit labeled as "Energy Assistance" on every customer's account. Is there any way I can then view that available credit amount when looking at the customer's page?Thank you!
I love the new feature that allows you to automatically send a link to a customer's phone number when invoicing in QBO. My question is why the link is not available when sending invoice reminders?? For clients who do not check their email regularly, having it also go as a text to their phone is really helpful. If nothing else, it says "Hey, Buddy! Check your email and pay that overdue invoice!!"
Does anybody know when the new account limits/caps on payments get lifted? I have BP Premium. I'm supposed to get 40 ACH included plus $0.50 for each additional. I ran my first few and only 10 went through, this was over a week ago (and multiple hours on the phone with support). It seems that new accounts are capped. I did a bunch of work to transfer all my vendors over to payments, only to find it won't process the dang bills. Nobody at QBO/Payments can help me. They all say the same thing that it will eventually reset and the caps will be removed. And they don't have any way of removing the cap. Does anybody know how long it typically takes to have the payments cap removed? (And Intuit -- consider this a formal complaint - you marketed payments to me constantly. I finally sign up only to have the system fail and force me to spend loads of time on support.) Thanks for your help!

I have used Quickbooks for YEARS, but my company decided to go to Quickbooks Desktop on the advice of a new CPA. I didn't like it at all, but the help desk suggested I switch to the desktop view since it would be more familiar to me. Which it is. However, I don't see how to enter a vendor credit using the desktop view. On desktop, you simply clicked a radio button in Enter Bills. It is very frustrating to have to switch just for entering credit memos.

(This is our first year using any direct deposit service for payroll. How do I tell quickbooks about these payments so they properly show up on the W-2s?
I am having some trouble with invoicing in this newly pushed version of Quickbooks Online. Can you please help? 1. Moving rows: I often have to arrange multiple rows in my invoices. I used to be able to select multiple rows with the Command button and then drag and drop them as a group to a different section of the invoice (Control button on a PC). Now, though I can select multiple cells (but not rows) with the Command button, when I try to drag them, it deselects to only one row at a time which can be moved. How do I move multiple rows at a time? 2. Accidentally exiting invoices: It appears there's a new short cut where a two finger swipe left on a mouse will exit the invoice screen and go to the previous invoice screen. How do I disable this? Its too easy to accidentally make this key stroke, exiting an invoice while I am still editing and not saved forcing me to re-do work over and over. Thanks!
