I am struggling to figure out how to configure paid time off in QuickBooks Time for the PTO plan our company has. Here is the criteria: PTO is accrued based on the number of hours worked in the pay period. The cap on the amount accrued is dependent on how many years of service an employee has. Years of ServiceAccrual Rate (per hour worked)Maximum Annual Accrual in Hours< 1 year.0289601 - 4 years.04811005+ years.0674140At the end of the pay period prior to the employee’s anniversary date, the PTO balance available will be reviewed. Based on the ending anniversary year balance, the employee will have the option of paying out up to 50 hours AND carrying over up to 50 hours into their new anniversary year. Any remaining balance above the payout and carry over (over 100 hours) will be forfeited. As far as I can tell is is NOT possible to have a CAP on how much PTO can be earned if you are allowing the employee to earn based on hours worked in a pay
Our employees often have to switch Payroll Item codes from Day to Day. However, this field is "auto-filled" with whatever the last entry was. This creates plenty of Payroll Item errors.So, is there a "global" setting I can change so that Payroll Item is blank and employees starts a timecard?
Does anyone know how to adjust the feature (default? setting?) in the app where the program automatically adds or enters the last project and activity to the time entry. I find it burdensome to have to go and undo both entries, an would prefer that the app queries me each time I start a new time entry. Thanks, Rick
When you convert your QB Desktop file to QBO and you using T Sheets does the time data come over to QBO? We just converted from Desktop to Online QB and the T sheet data did not come over. How do we get T Sheets to connect to QBO online now?
This has been happening regularly to our employees. It happens to iPhone and Android users alike. It happened to me yesterday and again today. The only solution is to go into settings and click "Reset App". This always results in data loss. Usually it's only one or two events but I've had users lose their entire week. I get that software has bugs, but at this point we've encouraged staff to stop using the mobile app. Why does it even have to "Sync" all that data anyway? With most apps, if I hit "clock in" it clocks me in on the server. Why does this app only seem to do it locally and then try to sync a few hours (or days) later? This is terrible design and user experience. What makes it worse is that it's actually a fairly nice app. And I say that as someone who is super critical of app design. Can someone please address this? "Looks like we're having trouble syncing".
I've created Service Items for 2 new hires. both are showing as "assigned to all" in QB Time. How do I change this setting?
Hello, I am having an issue where multiple employees are going over there lunch and then clocking in at the company and saying they forgot to clock in after the allotted 30 minute lunch break. If I edit the punch will the location tracking show me if they were onsite or not?
I have a time entry for an employee that is posted to the project & it shows up under the project. It also shows up when I pull a time report. However, if I go to the TIME tab - TIME ENTRIES - and bring up this employee's time for last week, the total time is short this time entry. I tried having it added again, and now its showing up as a duplicate in the project & reports - but still not showing up in the the TIME tab. Is there a known issue with QB time right now that would cause this to happen?Thanks!
I would like to set a specific job code to be used in only increments of 4 or 8 hours - how can I do this? Thanks!

I've checked the system log, but there's no identifying information other than a system id, which is not linked to an employee.
I have an employee that is no longer able to sign-in to Workforce. He had been using for months until last week. Last week he was able to log time on his phone, but it didn't show up on the admin. record. I resent the invite. When he logs in he receives an error message "you were signed out due to no associated companies with you user." I have verified email & cell number. Suggestions?
TSheets profile emails aren't in sync with QBO. This is because when TSheets profiles are created, the emails are pulled from QBO but when updated in QBO, they become unmatching. How do I rethink them again?
Hello, I would like to create a project and track my time towards it so I can bill the customer. However, I am the business owner and I don't take a salary so I am not set up as an "employee" How can I set myself up so I can track my time hourly for the project but not skew any reports or payroll things if I set myself up as an employee?
I'm trying to get everything set up to start having our guys track time on their phones, but when I do in to set permissions, most of our employees don't show up to choose from. Is there a setting somewhere I'm not aware of to turn on time tracking for each employee? I did a test myself and was able to clock in and then it showed up in QBO, but I don't know if it's automatic when they install and sign up for Workforce. HELP!!!
Hi, I was sure that I was able to clocked in, but I was told that I was not clocked in for 2 or 3 hours and it shows in the record that I was not able to clocked in between that time, but when it's the end of my shift, it did not show clock in, but clock out.
I want to change several time entries to *not* be billable. Is there a way to mass edit them to show that instead of opening each entry and clicking the billable button? Thanks!
We had issues with our PTO accrual balances. In the process of correcting it, we have mistakenly "archived" our PTO Time Off Code. How can I reactivate it?

Long story short - I approved, exported, then unapproved all time for the month of May, for myself and my sole employee. The approvals report in Quickbooks time shows that all hours are unapproved. There are no corresponding time entries in QBO invoices. This is as it should be. However, in the QBT time sheet itself, all of the entries are locked. Attempting to edit them generates an error message that I cannot edit because it is approved and exported, and gives me the hint to try again after a manager unapproves or rejects the time sheet. But the sheet is unapproved. I am not given an option on the approvals page to reject.
We are experiencing an issue with Quickbooks time.. users that are already logged in - need to log out - says they arent logged out.. they need to log back in again.. then cog out to clock out.. See video referenced.. how can this be fixed.. is there a fix? This does not happen every time. But is not correct. Please advise.
Hello,We have a customer where I will be sending them an invoice for 580 hours worth or work that we will be completing over a few months. What is the correct way to create this invoice in QBO? In the past I have just created the invoice in advance of the work. The issue is that this leaves all the time that gets imported to QBO from our time keeping system as unbilled income since the invoice was created prior to the hours being worked. I would like to tie the hours to the invoice as it is actually worked but this will impact the dollar amount of the invoice. Thanks
